This policy explains what data The Pool Hub collects, why we collect it, how it is stored, and your rights over it. The Pool Hub is operated by DOT.MOV LIMITED, registered in England and Wales, at 52 Kingston Avenue, Margate, CT9 5NH.

1. Information we collect

When you create an account, we collect:

• Email address — for account authentication and essential service messages.
• Name and (optional) nickname — to display you on leaderboards, fixtures, and live scoreboards.
• Date of birth — to verify you are old enough to use the service and for age-bucket statistics.
• Nationality and handedness — used for player stats lenses (e.g. record vs nationality, handedness splits).
• Postcode — to suggest nearby venues. We do not collect your full address.
• Phone number — optional, used only if you opt into SMS notifications.
• Avatar image — optional, only if you upload one.

While you use the service, we collect:

• Match and frame data — every frame logged during a competition you play in, including who broke, who potted, dishes, and timings.
• Competition participation — which comps, leagues, and friendlies you have joined or are entered into.
• Settings and preferences — theme choice, dismissed banners, pinned competitions.
• Service logs — anonymised request logs used to investigate errors and abuse.

2. Why we collect it

We only collect data needed to run the service. Specifically:

• Identification and authentication (email, password hash, optional MFA).
• Calculating and displaying lifetime statistics, ranking points, and your PHIX rating.
• Generating fixtures, schedules, and league tables.
• Sending essential service emails (account confirmation, fixture invitations, comp announcements).
• Detecting abuse and protecting other users.

We do not sell your data. We do not run third-party advertising trackers.

3. Who we share data with

To run the service we use a small set of trusted processors:

• Supabase — database, authentication, file storage (EU region).
• DigitalOcean — application hosting (EU region).
• Resend — transactional email delivery.
• Stripe (where applicable) — payment processing for competition entries and subscriptions. We do not see or store your card details.

Each processor only receives the data they need to deliver their service. They are bound by data processing agreements that require them to act only on our instructions.

4. Public information

Some information you provide is intended to be visible to other players using The Pool Hub. This includes your display name, your rating, your match results, and your competition participation. Your email address, postcode, date of birth, and phone number are never public.

5. How long we keep your data

Account data is kept while your account is active. If you delete your account, your profile is soft-deleted: your match records remain visible to your opponents (so their statistics are preserved) but you are removed from search and leaderboards. We keep enough information to allow you to reconnect to your account if you return within 12 months of deletion. After 12 months we anonymise the remaining profile data.

6. Your rights

Under UK GDPR you have the right to:

• Access the personal data we hold about you.
• Correct inaccurate data via your account settings or by contacting us.
• Request erasure of your account.
• Restrict or object to certain processing.
• Receive a copy of your data in a portable format.
• Lodge a complaint with the UK Information Commissioner's Office (ico.org.uk).

7. Children

The Pool Hub is not directed to children under 13. If you are under 13, please do not create an account. If we learn that we have collected data from a child under 13, we will delete it.

8. International transfers

Our hosting and storage are within the EU. If a processor we rely on transfers data outside the UK or EU, we ensure appropriate safeguards are in place (standard contractual clauses or equivalent).

9. Changes to this policy

If we make material changes we will notify active users by email and update the "Last updated" date above.
